AIM is seeking qualified candidates for its Finance Coordinator position.
Under the supervision of the Chief Financial Officer, performs day-to-day activities and transactions related to accounts payable administration including payment processing, reconciliation and reporting. Provides support for bi-weekly payroll processing and related activities.
Position Location: Rockville, MD (with local telecommuting)
Job Type: Full-time (37.5 hour work week) with benefits, non-exempt
Salary and Benefits: Range $45,000 – $50,000 annually, commensurate with experience, adjusted for locality, competitive benefit package
Responsibilities
Accounts Payable
- Receive and analyze invoices, credit card statements and expense reports for accuracy and eligibility for payment. Prepare and process payments and reconcile invoices and expenses.
- Maintain accounting ledgers including charging expenses to correct accounts; verifying and posting account transactions.
- Monitor accounting system for accuracy, and identify and assist with resolving errors as needed.
- Post information to the general ledger and assist with general ledger reconciliation.
- Maintain W9’s and process 1099’s annually.
- Prepare regularly scheduled and ad-hoc accounts payable and other financial reports.
- Serve as a resource for accounts payable questions, payment status or document requests.
- Assist with month, quarter, and year-end closing.
Payroll and Benefits Support
- Assist with preparation and submission of bi-weekly payroll.
- Maintain accurate payroll information by calculating and entering data using established payroll policies, procedures and schedules.
- Update payroll records by entering changes including changes to personal information, taxes, wages, benefit elections, direct deposit, position and departmental information.
- Work with employees and managers to ensure employee timesheets are completed and approved.
- Calculate and allocate employee time to correct projects and assignments.
- Submit benefit contributions and reconcile benefits invoices.
- Complete payroll reports and audit payroll for accuracy.
Minimum Qualifications
- Associate’s degree in Accounting, Finance, Business or related field or equivalent experience; Bachelor’s degree preferred.
- 2-4 years of relevant experience in Accounting or Finance.
- Working knowledge of general accounting principles, regulatory standards, and compliance requirements.
- Knowledge of general bookkeeping procedures.
- Prior experience processing payroll preferred.
- Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and accounting software (QuickBooks preferred).
- Excellent math, analytical and problem-solving skills.
- Strong verbal and written communication skills.
- Strong attention to detail.
- Excellent data entry skills.
- Ability to multi-task and work within strict deadlines.
